I have a quick question: Would you have time for a 30min call in the coming days to discuss our product roadmap? • I am currently working on it (basically product discovery) and it would be interesting to get your feedback, as you have a lot of insights into different settings and you are very tech savvy. • I would show you some ideas and ask some questions. That would be super helpful - but also understand of course if you are too busy at the moment. Ask about following modules: • AP • AR • Document management Core Questions: • How does Approval work for them? What would we need to build to improve it? Via mail or Slack better? Why does it require so many people? • They could automate all the approvals in their solution • Regnology • People have to find the right approver for every invoice -> that takes a lot of effort • That would be high value • Approval process: • CC are often not mentioned at the invoice • Often they have to look into history -> how was the approval process in the past -> use the same routing again • Small feature: Look at employee changes -> new leadership person or sth • Current process: • In his previous job he approved 100s of invoices every month -> Tinder style app: left / right • You believe the codings are correct • You mainly check the PDF • Typically you trust the people and finance looks at the invoice and they check already -> they sanity check the amounts that are paid • High value: identify invoices that you do not need • 5 licenses - but there it is lower -> very difficult • Budget vs. Actuals -> not really value because it is monthly -> you do it after • He did not really understand the concept • Medius: • Gives you the PDF • Approve / reject • Can add comments • What could be useful: • If invoice is rejected -> make the process efficient • Medius is doing a good job of reminding • Approval are not a hard selling point • He would go complete into AP automation -> replace Medius -> if we can drive higher automation than the current tooling that is a lot of people • Approvals should be the next step • AR: Value in automating the booking? • Only accounting: is not really necessary -> they do not do any coding on that side -> they create it out of their • Regnology: AR is not really automated • They send physical invoices • They are not storing the Email -> he does not really know why • ROM team wants to keep their work • PDF is automated normally • They have to click it manually • They could automate it within Dynamics • Many large companies have some manual steps in the process • Small companies might need it • He does not think there is a lot of value • It could be very high effort to build it -> could be super customised -> different fields in the ERP might have to be filled • Which one would he prioritise and why? • • In our first meeting he mentioned: Feature idea: Type in a company number and then scrape the internet with that number to get info about the company -> check if customer is existing etc. → what would that be used for? • He is working with another company to get it solved (within Regnology) • Ideally: • Vendor and customer data management -> in ERPs it is either • It takes a person 10min to fill all required fields of a new suppliers • Ideally: you have a solution that fills the the supplier form for each ERP (forms are different often) • Issue: sometimes duplicate -> human error • Does lookup on name and chamber of commerce ID (in NED) to get the information • There are also more international codes • Search for name and number -> to find the company • When Sales closes an opportunity -> based on name and a unique ID -> all the required information is created (name, address, etc.) • You can do a sequence of agents: • Check does it exist? Is it complete? • Go to first reference source that is most reliable • Then go to chamber of commerce • Last resort: Last step scrape on the internet • Then it pings the team: I created this customer -> I could not find these fields -> please review and approve • Important: which IDs to use to find the data • Chamber of commerce, ELA (or sth), VAT and he mentioned more • Process now: website, email address, • Challenges: • Data inconsistency within ERP already • implementation partner creates POC (started yesterday) • Production ready: User can decide what sources they want to use • Can be used for fraud detection • Most important: IBAN • Documents: how could we get them?
