Notes: • Notes: • They implement Netsuite • Knows many of the tools: Pleo, Ziff • • Automation: • • Biggest objections / challenges in his daily life? • AP and AR are transaction driven -> more in less time • • AP: • Fraud detection - become more and more difficult (different IBAN) • Is the supplier already existent or not? • Plausibility check • Approval process: • Accounting checks formal criteria • Integrate with HR system and org structure -> understand who has to approve • Tricky: matrix organisation • Legal entities • Functions: he is Finance for the group; but also finance in FRA -> they are quite functional (they push for centralisation) • Other companies might want to have it different • Cost center assignment • If supplier is not known -> suggest a CC • Trigger approval workflows • Thresholds based on amount • 5-25k two people; >50k CEO • Export to Datev, Netsuite etc. • Status: they are a zusammengekaufter Laden -> in every entity a different AP system: Candis, Spendesk etc. • Process: inbox, automatic fetched, checks, approval workflow triggered • Pleo pays from Pleo or export to Datev / Netsuite and paid from there • Improvements: either you procure to pay in one tool (not really covered by most tools) • Pleo: bearbeiten von AP is really good; PO are in other system; they introduce POs now • All in one tool: if you have Netsuite but you do procurement process • ESG, PO, Purchase Requests -> how do you connect to the accounting system? • Netsuite does not have cards and wallet yet • Special cases: kilometer geld, reimbursement • Many tools include budget as well - because AP is money out • Notification if 80% is used • It is important but many things are not running via PO -> e.g. rent is missing • Rent could be pulled from bank account -> better forecasting (Agicap does that; Atlar - Swedish treasury tool -> pull bank accounts; transfer money between bank accounts; forecasting; pay from the tool directly; money anlegen) • Introduce budget • EBIX Schnittstelle / Protokoll -> Datev is using it -> check out • Adding all bank accounts -> adding users etc. • AR: • They have customers who buy via website (mostly 1 car) up to highly customised contracts (e.g. DB) • They use Chargebee for high volume cases • Challenges: • Best of breed vs. with ERP • Different discounts; revenue recognition • Flexibility is most important • Umsatzlegung: verschiedene Accounting Standards (IFRS: performance; others have first month) • Rechnungsstellung: • They generate PDF invoice and have payment link on invoice -> per Lastschrift or CC • DSO: Dunning • Mahnwesen ist ein riesen Thema • The more money you get early • How do you integrate with Ayden and Stripe? • The more you collect via bank - the more effort -> they have a team that collects the payments (they implement a tool called Upflow -> they get open invoices from Netsuite and create analysis - different Mahnungen with different tone of voices -> customer can log in in portal and pay within the portal) • Look at order to pay process - not only AR • There is a lot of automation potential in cash collection and Dunning • Earlier everything in SAP - now everything in best of breed tools • Most important: how to connect all tools and orchestrate between them • Most valuable flows for him? • • Context: team setup? internal and external? • • Which tasks are the biggest pain? With magic wand -> what would he solve? • • Which tasks would he focus on? • • Do they already have automations? Which ones? How well do they work? • • Which companies would he target? • • General feedback to pitch? •
