Lydia ist bei der DB und hat dort schon einiges in Sachen Prozessautomatisierung und Digitalisierung gemacht und gesehen und kann vom Lieblingskonzern der Deutschen sicherlich so einiges spannendes berichten! :D • Meine Nachricht: • Ich arbeite aktuell an einer Plattform für Geschäftsprozessautomatisierung - im Prinzip ähnlich wie UiPath oder n8n - allerdings mit einem neuen Ansatz, der auch Legacy-Systeme ohne API automatisch integrieren kann. • Ich würde super gerne dein Feedback dazu bekommen, insbesondere aus deiner Perspektive aus deinem Arbeitsalltag bei der DB. • Reply: • bin ich jedoch aktuell in Elternzeit und muss schauen wo • Clara ggf. bleibt.
Notes: • Notes: • Invoice comes in and then approvals -> done via numbers or names • Invoice comes via tool by supplier -> they check the formalities -> procurement checks with PO -> then Fachabteilung to check -> je nach Summe an höhere Distanzen -> back to procurement (small amounts not) • They can also add Kontierungsdaten -> eigentlich nicht - aber manchmal weiss Buchhaltung nicht wohin -> welches Gleis, welche Weiche etc. • Challenges / Potential: • A lot of information has to be triggered from different systems -> difficult to find the relevant data • UX is bad -> kontierung you have to find • Wenn man etwas weitergibt -> terminology “abgelehnt” aber sie will nur Prüfung triggern • Buchhaltung: • Anlagenbuchhaltung • Zentraler einkauf • Buchhaltung. • They have to ask a lot because they do not have context • Aufwändig Invoices zu teilen -> they often book on one Weiche although it should be split • Which systems does she get information from • Also own developed systems -> they are very 90s / not intuitive • They have Leitfäden to navigate the systems • Automation: • They started automating slowly (mainly via macros, Ordnerstrukturen, Überprüfung von Dateien, Ordnerbeschriftung etc.) • They have a lot of manual processes -> before she left they shared a lot of feedback to management what to automate -> could be created with ChatGPT etc. • They have a lot of data -> easier search of all the data • Richtlinien nach denen sie arbeiten müssen • BahnGPT -> notwendigste ist nicht vorhanden -> Wie baut man Brücke nach Norm • Einkauf: • Different processes • They have Rahmenvertragspartner -> Rahmenvertragstool -> contracts are documented there • They can buy stuff relatively simply • Bis zur Summe X • Ausschreibungsverfahren -> Ausschreibungstool • Massnahme der Eingabe • Dann GER or EU weit ausgeschrieben • -> could be automated • They can get minimum 3 manual Angebote and send it to Procurement to pick one • They can pick if she wants to get offers herself or procurement or DB services or DB engineering consulting -> always Zwischenaktuer dazwischen -> is a bit of a challenge as well • Eg if she knows DB Service has a good partner - otherwise she does it herself • She prefers Rahmenvertragstool -> they should always get the cheapest • Sometimes very special things they have to do -> Markierungspfosten setzen; Zaun entfernen -> no Rahmenvertragstool • Rahmenverträge: alle paar Jahre neu ausgeschrieben -> then they select one -> Preise sind bidnend • Ingenieurleistungen schreiben sie auch aus über das Tool • They send a message to supplier and they can accept or reject • -> Zeitraum für Rückmeldung -> they get a more expensive supplier • If a supplier is really bad -> quality note that justifies higher • She can also do Attestvermerke • She was also Handwerk • Process unterschiedliche Rechnungsformate to transform • At DB: they force the supplier to provide the correct format • Biggest objections / challenges in his daily life? • • Most valuable flows for him? • • Context: team setup? internal and external? • • Which tasks are the biggest pain?
